Privacy Policy
How AI Lead Closer handles personal information, including lead contact details and SMS conversations.

1. Who we are
AI Lead Closer is a software platform operated by AI Lead Closer. Businesses use it to respond to and manage their own inbound enquiries.
This policy covers information we handle in two distinct roles, and the difference decides who you should contact:
- As a controller — information about the businesses that subscribe to our platform and the people who administer those accounts.
- As a processor — information about our customers' leads and enquiries, which we handle on their behalf and under their instructions. If you contacted a business and it replied using our platform, that business decides how your information is used.
2. Information we collect
Account information. When someone creates an account we collect their email address and authentication credentials, along with the business details they enter — business name, contact details, service area, services, pricing, policies and other information they choose to configure.
Lead and contact information. When a person contacts a business using our platform we process their phone number, any name or contact details they provide, and details they volunteer during the conversation, such as the service they are interested in or their location.
Communications data. The content and metadata of SMS messages sent and received through the platform, including message text, timestamps and delivery status.
Technical information. Standard server logs generated when the service is used, including operational records of message processing. We record identifiers, timing and message length; we do not write message content or full phone numbers into these logs.
3. How we use information
- Providing the service — receiving messages, generating replies, and storing conversation history for the business
- Creating and maintaining lead records for our customers
- Authenticating users and securing accounts
- Operating, monitoring, debugging and improving the platform
- Measuring usage for billing and capacity purposes
- Complying with legal obligations and enforcing our terms
We do not sell personal information. We do not use the content of our customers' conversations to train AI models.
4. Lead and contact information
Lead information belongs to the business that collected it. We process it to provide the service to that business.
If you are a member of the public who contacted a business, and you want your information corrected or deleted, contact that business directly — they control the record. If you contact us, we will pass your request on where we can identify the relevant business.
5. SMS and communications data
SMS messages are sent and received through Twilio, our messaging provider. Phone numbers and message content necessarily pass through Twilio and the recipient's mobile carrier in order to be delivered.
Message content is stored so the business has a record of the conversation and so the assistant can respond in context.

6. AI processing
Replies are generated by a third-party AI model. To produce a reply, the following is sent to the AI provider: the business information the customer has configured, recent messages in the conversation, and the incoming message.
This means the content of a conversation is processed by our AI provider. It is not used to train their models under the terms on which we access them.
Replies are generated automatically. A business can configure whether the assistant discloses that it is an AI, and conversations can be passed to a human at any point.
7. Cookies and analytics
We use cookies that are necessary for the service to function — specifically to keep you signed in. These cannot be disabled without breaking authentication.
We do not currently use advertising cookies, third-party analytics, or cross-site tracking. If that changes, this policy will be updated before such tools are introduced.
8. How we share information
We do not sell personal information or share it for advertising. We share it only:
- With the service providers listed below, to operate the platform
- With the business whose leads and conversations the information belongs to
- Where required by law, or to respond to valid legal process
- To protect the rights, safety or property of any person
- In connection with a merger, acquisition or sale of assets, subject to this policy
9. Service providers
We use the following processors. Each handles information only as needed to provide its service to us:

We also use a cloud hosting provider to run the application. This list is kept current; if we add a processor that handles personal information, we will update it.
10. Data retention
Account and business configuration information is retained while the account is active.
Lead records and conversation history are retained while the customer's account is active, so the business keeps its own records. When an account is closed, associated data is deleted within a reasonable period unless we are required to keep it.
Operational logs, which do not contain message content, are retained for a shorter period for security and debugging.
11. Data security
Each business's data is isolated from every other business at the database level, enforced by the database itself rather than by application code alone.
Data is encrypted in transit. Credentials are held in server-side configuration and are never exposed to browsers. Access to production data is limited to those who need it.
No system is perfectly secure, and we cannot guarantee absolute security.
12. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to certain processing, and to withdraw consent.
For account holders, contact us using the details below. For leads and enquiries, contact the business you were communicating with, as they control that information.
You will not be discriminated against for exercising these rights.
13. Children's privacy
The platform is a business tool and is not directed to children under 13, and we do not knowingly collect their personal information. If we learn that we have, we will delete it.
14. International users
The service is operated from the United States and information is processed there. If you access it from elsewhere, you understand that your information will be transferred to and processed in the United States.
15. Changes to this policy
We may update this policy from time to time. The effective date at the top shows the most recent revision, and material changes will be communicated to account holders.
